Premier Texas Non-Profit organization located in Dallas is seeking a dynamic Executive Administrative Assistant. The Executive Administrative Assistant will support one C-level executive along with a Director. The Executive Administrative Assistant will play a critical role in ensuring smooth functioning of the Relationship Department.

Executive Administrative Assistant Job Responsibilities: 

  • Provide support to the Chief Relationship Officer including, but not limited to, calendar management, handling correspondence, and filing in a timely, accurate manner
  • Provide support to the Director of Fund Administration including drafting, preparing and mailing welcome letters and packets for new fund holders, maintaining working fund and prospect lists, drafting fund agreements and filing fund paperwork
  • Complete projects in a timely and accurate manner
  • Provide support for Relationships Department meetings, donor engagement team meetings, and Relationships Board Committee meetings including, but not limited to, preparation of agendas, materials and minutes
  • Provide support for the North Texas Giving Day team including managing the project plan
  • Provide fundraising support including Raiser’s Edge assignments, actions and proposals
  • Handle expenses and pay bills for department
  • Maintain inventory of stationery, collateral materials and information packets
  • Manage the department calendar and publish weekly announcement of upcoming activity per the calendar
  • Assist with managing the Department’s budget
  • Serve as back-up for front receptionist
  • Provide customer service for donors, prospective donors and colleagues

The Executive Administrative Assistant Skills:

  • Proficiency with MS Office applications (Excel, Word, PowerPoint, Outlook)
  • Evident credibility and integrity
  • Positive attitude
  • Ability to self-start, work independently and achieve high
  • standards to meet multiple deadlines
  • Excellent communication skills including writing, speaking, editing, proofreading
  • Ability to develop and maintain strong relationships with donors, trustees and other stakeholders
  • Strong calendaring, organizational and document management skills
  • Ability to work effectively with staff in a team-oriented manner High degree of professionalism, business judgment, tact and diplomacy
  • Excellent problem-solving skills
  • Proficiency with Raiser’s Edge software preferred

Required Qualification: 

  • 5+ years successful experience in executive administration
  • Non Profit and Bachelor’s degree preferred
